At Supernova Digital Marketing (supernovadigitalmkt.com) we respect your privacy. This policy explains what personal data we collect, why we collect it, who we share it with, how long we keep it, and the rights you have over it, across our website, landing pages, AI assistants (WhatsApp, Instagram and web chat) and related integrations.

1Who we are

Supernova Digital Marketing provides marketing automation and AI assistant services, including AI-powered chat assistants, lead capture and CRM distribution. For personal data processed through our own website and assistants, Supernova acts as the data controller.

When we operate AI assistants and lead pipelines on behalf of a business customer, that business is the data controller for the end-customer data it collects, and Supernova acts as a data processor following the customer's instructions.

2Information we collect

  • Identity & contact data: name, email address, phone number, company name, and, where you provide it, identification documents (e.g. CPF/CNPJ).
  • Conversation data: the messages you exchange with our AI assistants on WhatsApp, Instagram or web chat, and any details you share during a conversation (such as the service you are interested in or an appointment request).
  • Lead & marketing data: business type, city, state, country, the product or unit you are interested in, and your consent choices.
  • Usage data: how you interact with our website, landing pages and assistants, including pages viewed and features used.
  • Device & technical data: IP address, browser and device type, operating system, and referring URL.
  • Attribution data: UTM parameters (source, medium, campaign, term, content), referrer and landing URL, used to understand where leads come from.

3How we use your information

  • To provide, operate and improve our website, assistants and services.
  • To respond to your messages and qualify, route and follow up on enquiries (lead management).
  • To schedule appointments when you request one through an assistant.
  • To distribute leads to the relevant business customer's CRM where that is the purpose of the service.
  • To personalize your experience and provide customer support.
  • To analyze usage and measure performance.
  • To send service messages and, where you have consented, marketing communications. You can withdraw consent at any time.
  • To comply with legal obligations and protect our rights and the safety of users.

5Sharing your information & sub-processors

We do not sell your personal data. We share it only as needed to run the service, with the categories of recipients below:

  • Business customers: when you contact a business through one of our assistants or forms, your enquiry is shared with that business so it can respond.
  • Service providers (sub-processors): vendors that help us operate the platform, listed below.
  • Legal & safety: authorities or third parties where required to comply with law or protect rights and safety.

Our service providers are bound by contractual obligations to protect your data and to process it only on our instructions.

6International data transfers

We are based in Spain and some of our providers process data outside the European Economic Area (for example, in the United States). Where data is transferred internationally, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses or an adequacy decision, so your data remains protected.

7Data retention

We keep personal data only for as long as necessary for the purposes described in this policy, including to provide the service, meet legal obligations, resolve disputes and enforce our agreements. Lead and conversation data is retained for the period needed to manage the enquiry and any resulting relationship, after which it is deleted or anonymized. You can ask us to delete your data sooner (see Your rights).

8Cookies & tracking

We use cookies and similar technologies to run the site, remember your preferences, measure performance and, with your consent, for marketing. This includes our own attribution cookie (sn_access, used to credit the source of a lead) and third-party tools such as Meta Pixel and Google Tag Manager.

You can accept or reject non-essential cookies through our cookie banner, and you can clear or block cookies in your browser settings. Rejecting non-essential cookies will not stop you from using the core site.

9WhatsApp & messaging

When you message one of our assistants on WhatsApp or Instagram, your message is delivered through Meta's platforms and is also subject to Meta's own privacy terms. We process the content of your messages to understand and respond to your request, qualify your enquiry and, where relevant, book an appointment or pass your details to the business you contacted. We only send you proactive messages where permitted by the platform's policies and applicable law.

10Google user data and Google Calendar access

When a business customer chooses to connect their Google Calendar, Supernova requests a single, limited OAuth scope (https://www.googleapis.com/auth/calendar.events). We use this access solely to provide the appointment-scheduling features the customer has enabled in their AI assistant, specifically to:

  • Check the customer's availability (free/busy time) so the assistant can offer open appointment slots.
  • Create calendar events when an appointment is booked through the assistant.
  • Delete or cancel calendar events that were created through the assistant.

We request only the minimum scope needed for these features. We do not request access to manage calendars, calendar sharing settings, or access-control lists.

Limited Use disclosure: Supernova's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. Google Calendar data is used only to provide the user-facing scheduling features described above. We do not sell this data, we do not use it for advertising, and we do not allow humans to read it except where required for security, to comply with the law, or with the user's explicit consent. Google user data is not used to train generalized AI or machine-learning models.

11How we protect your information

We implement appropriate technical and organizational measures to safeguard personal data, including encryption in transit, restricted access on a need-to-know basis, and hosting with reputable cloud providers. No method of transmission or storage is completely secure, so while we work hard to protect your data we cannot guarantee absolute security.

12Your rights

Depending on where you live, you may have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate or incomplete data.
  • Delete your data ("right to be forgotten").
  • Restrict or object to certain processing.
  • Withdraw consent at any time, without affecting prior processing.
  • Receive your data in a portable format.

To exercise any of these rights, email privacy@supernovadigitalmkt.com. You also have the right to lodge a complaint with your local data protection authority. In Spain this is the Agencia Española de Protección de Datos (AEPD).

13Children's privacy

Our services are intended for businesses and adults. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact us and we will delete it.

14Changes to this Privacy Policy

We may update this Privacy Policy from time to time. We will post the revised version here and update the "Last updated" date above. Significant changes will be highlighted where appropriate.
